Desk · Clients and casework Live

Practice and case management:  Run the whole practice from one desk.

In short Desk keeps your clients and their matters together with the emails, documents and requests that belong to them. Each matter moves through the steps your firm already follows, and when a client sends you something it lands on the right file.

£39$39 a person a month, no lock-in · works on its own, with Nib, Sig and Folio when you have them

One matter in Desk: a client emails her mortgage offer and it is filed to her matter, the contract is signed with Sig and the signatures checked by Nib, the matter moves on to exchange, the lender is chased, and the signed contract is kept in Folio.
  • Desk Runs the matter: email, steps, chasing
  • Sig Gets the contract signed
  • Nib Checks every signature that comes back
  • Folio Keeps the signed copy, untouched
  • Email in on your own domain
  • Work streams you set up yourself
  • Bank details that can’t be quietly changed
  • Templates for your sector

Email handling

Clients write to an address on your domain. Desk puts what they send on the right file.

How email works in Desk
  • 01 · Addresses

An address for each kind of work

Give a work stream its own address on your domain, or forward the mailbox you already use. Whatever is sent there lands in Desk without anyone forwarding it by hand.

  • 02 · Filing

On the right file without anyone sorting it

Desk matches each email to the client and the matter by who sent it and the reference in it. Anything it can’t place waits in one list for someone to file.

  • 03 · Who can write in

    You decide who gets through

Each address takes mail from anyone Desk can match to a client, only from clients you already know, or only from the domains you name.

  • 04 · Attachments

    Documents go where they belong

Each document joins the matter with its title and its job, a signed form is checked against the signer, and the sender gets a short note in your firm’s name saying it arrived.

Case management

Set Desk up the way your firm works, and it keeps every matter moving.

Case management in detail
  • Work streams and stages

Each kind of work has its own stages, with the checklist, time limit and sign-off each one needs before a matter moves on.

  • Rules for each stage

Say what should happen when documents arrive at a stage, such as checking the signatures or asking a second person to look, and Desk does it every time.

  • Requests to anyone

Ask a lender, an agent or the other side for something by a date. Desk emails them, you can chase with one click, and the whole team sees what you’re waiting on.

  • Queues for each team

A queue shows the matters a team should be looking at today, so nobody has to go hunting through a list.

  • Updates on the matter

Notes, calls and decisions sit on the matter in order, so whoever picks it up next knows exactly where it stands.

  • Reports

See how long matters take at each stage and where they get stuck, by team and by type of work, and export them when you need to.

Clients and contacts

Everyone you deal with in one book, and a client record your compliance team will be happy with.

  • People and businesses, with their people

Keep a client’s household, their company and its directors together, and see every matter they’ve had with you.

  • The rest of the cast

Lenders, agents, the other side’s firm, trustees and executors live in one contacts book, with the part each plays on every matter.

  • Money laundering checks, recorded properly

Record what your team saw, the risk you gave it and who signed it off, with a reminder when the client is due a fresh look.

  • Bank details nobody can quietly swap

Clients give their details through their own link, and they stay hidden until someone needs them. If they ever change, a second person has to call the client and confirm before anyone relies on them.

  • A conflict check before you start

When a new matter opens, Desk looks for the names among your clients and the people on past matters, and shows you any it finds before you go ahead.

Documents

Every version kept, with what changed between them.

  • Titled and tagged as they arrive

Each document gets a title and tags when it’s added, whether it came by email, upload or the client’s own link.

  • Search inside a client or a matter

Find the clause, the name or the figure you’re after across everything on the file.

  • Each document knows its job

Mark a document to be checked, sent for signing, kept as a reference or simply kept, and Desk follows through.

The record and your tools

Every action has a name next to it, and your other tools can join in.

  • Who did what, and when

Every view of bank details, every document and every stage change is recorded against the person who did it.

  • Roles for your team

Decide who can see client records, who works each queue and who signs things off.

  • Alerts where your team talks

Hear about new work and changes in the chat tools your team already uses.

  • Ask your assistant

Connect Desk to your AI assistant and ask what’s waiting on you today, or what’s happening on a matter.

  • Your own domain throughout

Emails and the links your clients open carry your firm’s name and address, not ours.

  • Two-step sign-in and a screen lock

Your team signs in with a second step, and Desk locks itself when someone walks away from their desk.

What people ask us

What does Desk cost?

£39$39 a month for each person who uses it, month to month with no lock-in. Email in, templates, documents and reports are all included. Nib checks and Sig documents are charged as they are on their own.

Do we need Nib or Sig to use Desk?

No. Desk works on its own. If you already use our other products, their results show up on the matter without anyone having to click out.

Can clients keep emailing the addresses they already use?

Yes. Forward the mailbox you have today to Desk, or add new addresses on your domain for each kind of work, and what arrives is filed to the right matter.

What happens to an email from someone we don’t know?

You choose for each address. It can take mail from anyone Desk can match to a client, only from clients you already know, or only from domains you name. Anything Desk can’t place waits for one of your team to file it.

Can we change the templates?

Every stage, checklist, time limit and rule can be changed, and you can build your own work streams from scratch.

How do we move across from our current system?

Talk to us. We’ll go through what you have today and plan the move with you.
