Desk / Email

Email for case management:  Email that files itself on the right matter.

In short Clients, lenders and agents send documents to an address on your domain, or to the mailbox you already use. Desk checks the email really came from them, puts each document on the right client and matter, and lets the sender know it arrived.

Addresses

One address for each kind of work, on your own domain.

Each address feeds a work stream, so a document sent to purchases@ starts on a purchase. Keep the mailbox your clients already know and forward it to Desk, or make new addresses as you need them.

When an email arrives

Nobody has to sort the post. Desk does it the same way every time.

  1. 01

    An email arrives

At an address on your domain, or forwarded from the mailbox your clients already know.

  2. 02

    We check who sent it

Mail that fails the sender checks, or comes from someone the address doesn’t accept, isn’t kept.

  3. 03

    Desk finds the matter

By the sender and any reference in the subject. If it can’t be sure, the email waits for someone to file it.

  4. 04

    Each document gets its job

Titled, tagged and checked, sent for signing or simply kept, as the work stream says.

  5. 05

    The sender hears back

A short note in your firm’s name tells them what arrived, so nobody has to ring to ask.

  • Anyone we can match to a client

The usual choice for an address you give out widely. Mail Desk can’t match waits to be filed.

  • Only clients we already know

For addresses that should only ever hear from people already on your books.

  • Only these domains

For the lenders, agents or firms you work with, named by their email domain.

Who can write in

You choose who each address listens to. Everything else stays out.

Every email is checked to make sure it really came from who it says before anything in it is kept. Then each address follows its own setting, and you can change it whenever you like.

Setting up

Your own domain takes a few minutes, and we check every record for you.

  • Step 1

    Add your domain

In your organisation’s settings, add the domain you want to receive mail on.

  • Step 2

Copy the records we show you

Add them where your domain is managed. We check them and tell you when they’re right.

  • Step 3

    Make your addresses

Pick the part before the @, the work stream it feeds and who can send to it.

Addresses on your own domain come with Your own email, £99$99 a month for your whole organisation. See the price

On the way

Read and reply to email in Desk

Next, Desk keeps every message with the matter and lets you reply from the address the client wrote to, so the whole conversation sits on the file.

What people ask us

Do we have to use our own domain?

No. You can forward a mailbox you already have to Desk. Addresses on your own domain come with Your own email, which is £99$99 a month for the whole organisation.

Can we read and reply to emails in Desk?

Not yet. Today Desk takes in the documents people send and files them. Reading every message and replying from the address the client wrote to is the next thing we’re adding.

What happens to an email Desk can’t place?

It waits in one list with its documents, and someone on your team files it to the right client and matter.

Does the client get a reply?

They get a short note in your firm’s name telling them what arrived, and you can turn it off for any address.
