Finding records

Search will look at names, matters and subjects unless you ask it to look inside the documents themselves.

By name, matter or subject

The quickest search will be the one your team already thinks in: the client’s name, the matter number or the person’s name. You’ll be able to narrow it by folder, by class, by Retained or Locked, by date, or to the records under a hold.

Inside the documents

Add scope=content and folio will search the words inside each document, page by page. You’ll be able to use exact phrases in quotes, words near each other, OR, AND and NOT, wildcards, and fuzzy matching for words a scan may have misread.

Results will list the matching pages, and people who are allowed to open documents will also see a short snippet around each match.

What it will read

folio will read the words in PDFs, scans and photos, plain text, office documents, spreadsheets and presentations, OpenDocument and RTF files, and emails along with the names of their attachments.

Older office formats, .msg emails, zip archives and password-protected documents will be found by name, matter and subject only.

When search finds nothing

Each content search will tell you how many records in scope aren’t searchable yet, or were read with low confidence, because finding nothing won’t prove a word isn’t there. If a scan matters, you’ll want to open it and look for yourself.

Searches will go in your ledger

Searching won’t need a reason, but each search, its filters and what it showed will be recorded in your ledger.
