How holds and approvals will work
When a dispute, claim or investigation starts, a hold will keep the records it touches exactly as they are until it’s over. Anything that would weaken your records’ protection, including releasing that hold, will wait for a second person.
Placing a hold
You’ll choose what it covers: one record, a folder and everything under it, a matter, or every record about one person.
Placing the hold will need a reason, every record it covers will be noted in your ledger, and records filed into it later will be covered too. While it’s in place, nothing it covers will be disposed of, deleted early or moved.
folio will keep the records safe through the dispute. Deciding what’s relevant, and the litigation itself, will stay with you and your advisers.
Releasing a hold
Asking to release a hold won’t release it. A different person, with permission to approve and a reason of their own, will need to agree first, and until then the hold will stay exactly as it was.
What will need two people
Releasing a hold, deleting a Retained record early, erasing a person’s records, removing a folder’s protection, moving a record out of a protected folder, and any settings change that protects records less will all need a second person.
The approver will need to be someone other than the person who asked, with their own reason. A request will expire after seven days if nobody decides it, and an approver will also be able to refuse it, after which it can’t be approved.
Seeing what’s waiting
Everyone will be able to see their own requests and how they ended, and people who can approve will also see what’s waiting for them.
